Summary of Position Role/Responsibilities

Under the direction of Director of Global Recruitment, the Recruitment Administrator will provide administrative support to the Recruitment team with all administrative aspects of processing for Registered Nurses, Physical and Occupational Therapists working through the Avant process. The Recruitment Administrator will be involved with the team in ensuring key metrics and KPI’s are met in relation to signed employment agreements and moving applicants through the process to Document Control.

Essential Functions of The Job

  • Compile and maintain current and accurate data for all Healthcare professionals, in the recruitment process by updating Avant databases and all applicable candidate records and reports
  • Manage inputs and scores from the Avant online exam system and monitoring candidates in the Avant Jumpstart and IELTS Review programs
  • Handle questions directly with applicants via phone and email or direct to the appropriate recruiter
  • Set skill checklists and competency exams through the Clearview Software system and on completion loads documents to the Avant database
  • Deliver prepared script to educate applicants on the next-steps and encourages applicants to take the next steps in the process
  • Assist with utilization of systems including, but not limited to, Mailchimp, Goto Webinar, Hubspot and weekly Facebook submissions sent to the Marketing Team
  • Coordinate overseas recruitment trips, Virtual Trips and Webinars
  • Assist with day-to-day recruiting activities including, but not limited to, scheduling interviews, screenings, regular follow up with applicants, and sending out employment agreements through Docusign
  • Maintain high quality, timely and accurate records for HCP’s during the recruitment process
  • Prepare packages for shipping and maintain accurate tracking records
  • Manage the online chat for the recruitment team
  • Monitor and handle emails going to the recruitment inbox
  • Prepare and submit weekly agent updates
  • Submit Expensify reports as needed
  • Assist in ensuring deadlines for recruitment timelines are met
  • Represent the Avant Healthcare program in a professional manner, build rapport and trust with applicants
  • Submit and update reports to the Director as needed
  • Participate in meetings and communicate updated information to other team members and departments as needed

Normal Work Schedule

This is a full-time position, and core hours of work and days are Monday through Friday 8:00 AM to 5:00 PM.

Education, Training, And Experience

  • Associate degree preferred, and a minimum of 1-2 years related experience and/or training; or equivalent combination of education and experience.
  • Experience using electronic file management systems such as, but not limited to: Outlook, Word, Adobe/Foxit PDF editor, Internet explorer.
  • Ability to work independently, productively and well under pressure
  • Ability to learn and assimilate new and varied information quickly and efficiently

Required Licenses, Certifications, and Other Specific Requirements of Law

  • Health Insurance Portability and Accountability Act (HIPAA) certification

Work Environment:
  • This job operates in a professional office environment. This role routinely operates standard office equipment.


  • Internal: Daily contact with professional staff members, and contracted field staff.
  • External: Regular contact with vendors.
