Summary of Position Role/Responsibilities
The Cultural Transitions Specialist is responsible for supporting and coordinating all details of the transition process for all healthcare professionals during the Pre-Arrival Process and the Cultural Transitions Program. The Cultural Transitions Specialist will provide effective logistical and emotional support to healthcare professionals to ensure they are prepared prior to arriving in the US as well as have a successful transition once in the US.
Essential Functions of The Job
- Present Cultural Transitions Lectures and Cultural Transition Webinars in a group setting and/or one on one with HCP and/or via Learning Management System
- Communicate and work with all healthcare professionals regarding social and cultural transitions to the US – can include International HCPs, US HCPs and Relocations.
- Prepare, revise and develop course content as needed for Live or LMS Cultural Program
- Instruct, guide and assist HCP in apartment search finalizations, to include school search and childcare and budgeting their money
- Confirm and prepare HCP details in preparation of Transitions Trip
- Communicate HCP Trip details to Transitions Trip Support Specialist (TTSS) along with preparing any distributing Transitions Checklist
- Confirm TTSS availability once assigned
- Request and gather documents from TTSS following Transitions Trip – ie: transitions checklist, lease copies, HCP photos etc.
- Update ABMS Tasks and Transitions Work Flow fields accordingly for assigned HCPs
- Assist HCP in dealing with any physical, psychological, and emotional aspects of moving within one state, state to state, and internationally to the US.
- Prepare and Coordinate Weekly Transitions Schedule with other internal departments and disseminate to all necessary parties
- Enroll HCP in Learning Management System program in relation to Pre-Arrival and Cultural Transitions Program Modules
- Coordinate and book flights, transportation and accommodations for Transitions Trips as needed when not already completed by Cultural Transitions Travel Coordinator
- Attend weekly meetings such as Placed & Pending, Actives, Remediation, Team Meeting and Huddles in absence of Team Supervisor/Manager
- Coordinate information as required for the pre-arrival process and communicate directly with HCPs in both written and oral capacity
- Provide Pre-Arrival Communications according to Immigration Status – File Finalized, I-140 Approval, Packet 3 Submitted, Final Processing and 90 days before exit, No PD delayed and Query USTP Start
- Upload and track required documents such as Country Driver’s License, Driving Questionnaire, International Driver’s Permit, Transitions Prep Questionnaire, and Emergency Contact Form and other communications with Pre-Arrival
- Update Quickbase and all applicable candidate records and reports
- Represent in a professional manner the Avant Healthcare Program, build rapport and trust with the HCP as they process with Avant
- Communicate updated information to other Avant departments as required
- Submit and update reports and issues to Director as needed
- Confirm HCP Details using Transitions Prep Questionnaire (TPQ) – both orally and written
- Update Notes from TPQ in Trans Pre Arrival Notes
- Travel with HCP to assignment location, assist in apartment set up, meet and greet with client, HCP vehicle purchase or rental pick up, and city orientation. Travel can be 25% of the time

- Received – Supervisor provides instruction and direction through personal observation, individual conferences, specific directive, and written memoranda.
Normal Work Schedule
- This is a full-time position, and core hours of work and days are Monday through Friday 8:00 AM to 5:00 PM. This employee may work more than 40 hours weekly. After hours may be required for calls and solving travel related issues.
Education, Training and Experience
- Preferred Bachelor’s degree; will consider other qualifications and a minimum of 2-3 years related experience and/or training; or equivalent combination of education and experience.
Required Licenses, Certifications, and Other Specific Requirements of Law
- Health Insurance Portability and Accountability Act (HIPAA) certification
- Most posses a valid US driver’s license.

- This job operates in a professional office environment. This role routinely operates standard office equipment. Standard office hours are Monday through Friday, 8:00 AM to 5:00 PM EST

- Administer Avant regulations, policies and procedures
- Internal: Daily contact with professional staff members, and contracted field staff.
- External: Regular contact with vendors.
